Privacy Policy

Announce Ready is a trade name operated by Stephan Kilgore, doing business as Announce Ready. In this document, “Announce Ready,” “we,” “us,” and “our” refer to Stephan Kilgore d/b/a Announce Ready.

1. Scope

This Privacy Policy applies to announceready.com, the Announce Ready application, and related support, billing, and account communications. It explains how we handle information from workspace owners, team members, visitors, and people who contact us.

2. Information we collect

Depending on how you use Announce Ready, we may collect:

  • Account information, including name, email address, password-security records, role, sign-in activity, and multi-factor authentication status.
  • Organization information, including church or ministry name, legal name, organization type, optional EIN, mission, vision, values, voice samples, colors, logos, and brand guides.
  • Announcement content, event details, scripts, email campaigns, captions, prompts, feedback, URLs, QR-code destinations, and generated outputs.
  • Communication and design preferences you save, approved or favorited examples used to guide future work, automated design-quality reports, and team review comments, decisions, and content snapshots.
  • Optional calendar-pilot interest, including the provider and workflow your organization requests. Submitting interest does not connect or authorize access to a calendar.
  • Uploaded files and references, including logos, photos, brand documents, reference graphics, and optional sales-tax exemption certificates.
  • Billing records from Stripe, such as customer, subscription, checkout, invoice, tax status, and payment-status identifiers. We do not store full card numbers.
  • Usage, device, browser, security, diagnostic, and support information needed to operate and protect the service.

3. How we use information

We use information to create and secure accounts; operate team workspaces; generate and save communication kits and graphics; process subscriptions and credits; provide support; send transactional emails; prevent fraud, abuse, and repeated trial claims; improve reliability; enforce our Terms; and comply with applicable law.

Communication Memory and Church Design DNA personalize future drafts using workspace preferences and examples that a user intentionally saves or approves. They are available to the workspace and can be edited by an authorized owner or administrator.

We do not sell personal information. We do not use customer content for third-party targeted advertising.

Product-health reporting records limited operational facts such as the feature used, generation status, credit cost, model name, estimated provider cost, and sanitized error category. Announce Ready does not copy customer prompts, scripts, emails, captions, or uploaded files into its product-analytics or error-reporting records.

4. AI processing and service providers

Announce Ready sends only the information needed for a requested feature to service providers that help us operate the product. These may include OpenAI for writing or analysis, fal.ai and its model providers for image generation, Supabase for authentication and data storage, Stripe for billing, Resend for email delivery, and hosting, monitoring, security, and file-storage providers. Their handling of information is also governed by their own terms and privacy practices.

Do not upload confidential pastoral records, counseling notes, health information, children’s personal information, payment-card data, or material you are not authorized to use.

5. Sharing and disclosure

We may share information with contracted service providers, workspace members according to their permissions, professional advisers, and government or law-enforcement authorities when reasonably necessary to comply with law, protect rights or safety, investigate abuse, or complete a business transfer. Service providers receive only the access reasonably needed to perform their work.

Announce Ready does not access a church calendar merely because a user submits a pilot request. If a calendar pilot is offered later, we will identify the provider, requested permissions, and applicable controls before the workspace authorizes a connection.

6. Retention and deletion

We retain account and workspace information while an account is active and as reasonably needed for service delivery, security, disputes, accounting, and legal obligations. When an owner deletes an account, we delete or de-identify customer content according to our operational process. We may retain limited fraud-prevention fingerprints and deletion records so a deleted account cannot repeatedly claim a free trial. Stripe and other providers may retain transaction or security records when legally required.

7. Security

We use reasonable administrative, technical, and organizational safeguards, including access controls, encrypted connections, restricted service credentials, audit records, and optional multi-factor authentication. No online system is completely secure, so we cannot guarantee absolute security. Workspace owners are responsible for team access and secure account credentials.

8. Your choices and rights

Account owners can review and update workspace information, manage team access, download available work, and request account deletion from the application. Depending on where you live, you may have additional rights to access, correct, delete, or receive a copy of personal information, or to appeal a privacy decision. Email hello@announceready.com to make a request. We may verify your identity before responding.

9. Children and international processing

Announce Ready is a business service and is not directed to children under 13. The service is operated from the United States, and information may be processed in the United States and other countries where our providers operate.

10. Changes and contact

We may update this policy as the service or legal requirements change. We will post the revised effective date and provide additional notice when appropriate. Questions and privacy requests may be sent to hello@announceready.com.
